1/ Your enjoyment:

Our Terms and Conditions are designed to ensure you have a safe and enjoyable stay in the above home. Many guests return year after year because they know we maintain the home and contents to the highest possible standards.

Although many guests have pets at their own home, there are people who have an adverse reaction to pet hair so we do not allow animals into Harry Potters Hideout.

Our Terms and Conditions are based on common sense to make sure you understand our request to respect the home and your hopes and expectations of what the home will offer you. We encourage families to stay in the home, not party people.

The resort has a policy of issuing wristbands to guests so they can be identified as bona fide guests using the resort amenities. Guests should visit the Welcome Center and request wristbands.

2/ General Terms:

The signing of the rental agreement confirms the acceptance of the terms and conditions set forth below and shall be binding on all the persons intending to occupy the property whether said persons have signed the rental agreement form or not.  It is understood that the lead renter understands and agrees to the terms set out below.

3/ Rental Period and Occupancy:

The rental period runs from 4pm local time on the day of arrival until 10:00am local time on the day of departure.  The property may only be occupied by a maximum of 12 (twelve ) total persons  ( adults, children and infants ) per Florida law.  The home is booked solely for persons named on the rental agreement and the owner or management company reserves the right to refuse entrance to any persons not so named.  The property is fully licensed for short-term rental in the State of Florida.  Everyone occupying the house must be listed on the rental agreement including small children and infants. It may, on occasion, be necessary for staff or agents of the owner or management company to enter the premises in order to speak to the renters, or perform routine maintenance or repairs. Sometimes, advance notice is not possible.  Late checkout will incur a $300 late checkout fee unless arrangements have been made in advance.

The renters understand the home is completely self catering. No maid service is provided.

4/ Trash disposal:

Household trash should be placed in a black plastic bag and then left in the bench mate just outside the front door. No loose trash should be put in the bench mate. The trash is collected 6 days per week. Additional larger trash such as cardboard boxes and packaging should be taken to one of the four dumpsters situated around the resort. Removal of excess trash left in the home will be chargeable.

5/ Care of Home and sanitizing:

We spend a large amount of money purchasing, renewing or repairing items that are slightly worn or otherwise showing signs of wear in the home.

We ask that you respect the home and take care using it.

Before your arrival, the home will have been professionally cleaned and sanitized against Covid and other bacteria. This process is described as:

“Electrostatic Sprayer allows Sunset Villas to do a walk through of the home after the initial cleaning is completed and we spray an EPA approved and authorized safe chemical on all surfaces including but not limited to sofa, beds, comforters, counter tops, handles etc. This chemical is an EPA registered hospital grade disinfectant which is a requirement for any chemical disinfectant or sanitizer and strictly measures the efficacy of chemical itself. The chemical that Sunset uses has been chemically tested and verified that exposure levels fall below established Permissible Exposure Levels (PEL) in compliance with OSHA (Occupational Safety and Health Administration) & NIOSH (National Institute for Occupational Safety and Health).”

In particular we ask you to remind any teenagers in your party to be very careful with make up. In the past we have had nail varnish spilt on furniture and carpets. It is usually impossible to remove completely, so renewal is the only option. The cost of repairing/replacing furniture or carpets because of make up damage will be charged to the lead renter and this can be very expensive.

We do not allow parties to be held in the home or pool area without written agreement. This will not be withheld unreasonably.

There must never be more than 12 people in the home or pool area.   Guests must have our written permission to have day visitors

The air con must never be set below 72 degrees as this could cause extensive damage to the motor. These units cost over $6,000 .

Guests are NOT allowed to alter the temperature settings.

Pets and smoking are not allowed in the home or pool area.

6/ Security / Booking deposit:

A $300 security/booking deposit is required at time of reservation to confirm and hold the reservation. This is totally separate from the rental amount. 

No reservation is confirmed until the security/booking deposit is received.

The Booking/Security deposit is in response to your request to book specific dates. These will be blocked to other guests and If you do not follow through, the deposit is not refundable.

The security/booking deposit will be used to cover extra accommodation costs or loss or damage to the rental property in excess of normal wear and tear during the period of rental. (if applicable) The lead renter will be notified within 7 days of any charges being made.

The property should be left clean and undamaged.  If the property is not left in a suitable condition, it will be necessary to charge the security deposit plus the lead renter for costs to cover extra cleaning, loss or damage / repairs and administration costs involved in rectifying the problem.

Pets of any kind are not permitted in the home. If it is found pets have been allowed in the home or smoking has occurred, a charge of $1000 will be made to cover the costs of deep cleaning, sanitizing, laundering and carpet cleaning.

If the Booking/Security deposit is not enough to cover any losses/breakages or other costs mentioned above we may take legal action against the lead renter to recover such costs.

If you lose the combination for the safe, you need to call our Management Company. There is a charge of $150 for the call out and to reset the safe mechanism.

We understand accidents sometimes happen, especially with children. We request you immediately report these accidents to harrypottershideout@hotmail.com and Bianca at: sunsetvillasmgt@gmail.com

The home is inspected by our property manager before your arrival and after you leave. We much prefer to be informed about accidents/breakages/ losses than for us to find them !!!

We will be much more sympathetic over costs if the issue is reported to us.

The booking/security deposit will be returned to the lead renter within 7 days of check out providing no extra charges are made The method of repayment is at our discretion, but a small fee may be applied if it is Paypal or a similar payment platform.

7/ Rental payments:

All rental amounts must be paid in full eight (8) weeks prior to the date of arrival, or the booking is subject to cancellation without notice.  Reservations for an arrival within an 8 week window must be paid for in full at time of reservation. If payment is not received, your reservation may be cancelled, and your deposit may be forfeited. Due to advertizing costs, we may quote slightly different prices on various platforms.

8/ Methods of paying rental amounts:

We host guests from all over the world, so payments by Credit/Debit cards/Stripe/Paypal are the easiest and most efficient method of payment. These are subject to a 3% processing charge. Other methods may be available at the owner’s discretion, but guests are asked to only make payments as directed.

9/ Persons occupying the home:

The owners reserve the right to decline certain groups of persons from renting the home. This is at the absolute discretion of the owners. The home is intended to accommodate families and the lead renter must be at least 25 years of age. Persons not named on the rental agreement will not be allowed entry to the resort or home.

Windsor Hills is a family resort with a quiet time between 11pm and 7am. Guests are required to observe this rule and not to allow noise within these times, especially from the screened pool area. Parties of any description and visitors are not permitted in the home or pool area without the written permission of the owner or management company. Any contravention of the home or resort rules may result in eviction. Guests will be given the resort rules when they first check in at the resort. CCTV may be used to monitor the entrances to the home.

10/ Pests:

The home is treated on a regular basis to get rid of insects, termites and other pests. Year-round good weather means that pests are a part of life in Florida, and our pest control methods provide the highest level of pest protection while maintaining a family environment, but we cannot be held responsible for insects being found  in the home or game room. We may carry out additional treatments, but alternative accomodation or refunds of rentals will not be made if roaches or similar insects are found in the home.

It is almost impossible to prevent insects sometimes entering properties in Florida, especially when it has been wet.

11/ Cars:

Resort rules state that only 3 cars may be issued with passes for each home.

Cars must not be parked on the grass, sidewalk or street. Offending vehicles will be towed and the drivers fined. The lead guest will also be penalised through the Booking/Security deposit .

Arrangements can be made for additional car parking, but this must be agreed at time of reservation.

12/ Complaints:

If a complaint is made about you or any of your party creating noise or unruly behaviour during the resort quiet time, the resort management will impose a $100 fine on the owners. This fine will be passed on to the lead renter together with a $25 administration fee by deducting it from the Booking/Security deposit and you may be evicted with the remainder of the rental not being refunded.

13/ Security Officers:

The security officers situated at the resort entrance are not permitted to leave their positions.

If you wish to report any noise or unruly behaviour between 11pm and 7am you should phone the Sheriffs non-emergency number; 407-348-2222 and inform resort management at whreception@welcometowindsorhills.com

14/ Pool/Spa heating:

When pool heat has been requested, the pool is set at 88 degrees and the spa at 100 for 8 hours per day. However, atmospheric conditions, such as cold nights drastically reduce the water temperatures. Once booked, this cannot be cancelled. Guests are NOT allowed to adjust the pool or pool heat controls.

The spa water will not be heated if pool heat has not been requested.

15/ Welcome Book:

There is a Welcome Book in the home which contains lots of information on the home, the resort, and local amenities.

16/ Liability Limitations:

The Owners and Management Company of the Property accept no responsibility whatsoever for the death, personal injury, accidents, loss, or damage to persons or personal property and/or personal belongings however caused.  The use of all accommodations and all amenities, including the swimming pool, hot tub/spa, and all other facilities is entirely at the users own risk.  Children must be always supervised by responsible adults when using the swimming pool or spa. When not in use the child safety fence must be fastened in place and any doors or patio doors leading to the patio area must be locked to prevent children having access.   Glass and BBQ’s are not permitted within the pool area.

 The Owners and Management Company cannot accept any liability for any loss of rental time due to travel problems, flight delays, pandemics, cancellations, terrorist acts, industrial disputes, weather related events including hurricanes, any events outside of our control, including any form of Force Majeure.  The owners cannot accept any liability for failure of public supplies or utilities such as water, gas supplies, electricity, phone service, internet service, cable TV service, gas supplies or of air conditioning supplies or pool heaters.  Nor do we accept liability for the consequences of the actions or omissions of others that may supply or control main services, or any actions taken in the vicinity of the property by any authority over which there is no control. 

17/ Agent / Management Company:

Sunset Villas Property Management LLC are our local property management company. They take care of inspection services, maintenance issues, cleaning, pool maintenance / upkeep, pest control, and any other need or issue you may have while staying in our home.

18/ Force Majeure:

  • As with any other holiday, there are circumstances completely beyond our control, in which the property may not be available for your booking. Such circumstances are referred to as Force Majeure. In the event of Force Majeure or a major event occurring that is unknown at the date of signing the rental agreement, the owners will do their best to make alternative arrangements for you where possible. If they cannot or if the alternative arrangements are unacceptable to you, they will issue a pro rata refund of monies paid. This will be the full extent of the owner’s liability in such circumstances and the owners cannot be responsible for any other costs connected with any such cancellation, however arising.

19/ Cancellation:

All cancellations must be received in writing and confirmed.  In the event that a guest cancels a reservation, or the owners have to cancel a reservation due to non-payment of the balance due within the time allowed before arrival, cancellation charges will be made as follows:

  • More than 8 weeks prior to the arrival date:  $300 cancellation fee.
  • Between 4-8 weeks prior to the arrival date:  50% of the total rental amount.
  • Less than 4 weeks before arrival date:          100% of the total rental amount.
  • We strongly recommend you obtain cancellation/medical/travel insurance immediately on signing the rental contract.
  • Amendments to bookings are charged at $75

20/ COVID-19 Special cancellation policy ( this para overrides our regular terms )

When Covid -19 causes the lead renter’s flight to be cancelled by their airline, or the Florida Governor forbids vacation rentals in our community, the guest will be offered different dates, subject to rate band and availability. If changing dates is not possible a full refund, less the deposit and any Paypal / Stripe or other type of bank charges will be made.

Proof of flight cancellation will be required.

21/ Governing Law:

All reservation of the resort accommodations and the use and occupancy of such accommodations shall be governed by the laws of the State of Florida.  All disputes between owners and renters shall be subject to the exclusive subject matter and personal jurisdiction of the courts in Orlando, Florida.  In the event of litigation between renters and owners, the prevailing party shall be entitled to all costs incurred, including attorney’s fees.
